Cancel before 6:00 PM the night before a 6:00 AM class and the spot opens back up, no charge, no session spent.
Cancel after that window and a monthly member is charged $15; a drop-in or pack member loses the session entirely, no refund.
No-show without cancelling costs $25, charged automatically to the card on file, whether or not the class was full.
A waitlisted member who is offered a spot has 15 minutes to claim it before it passes to the next person in line.

Referral is 14% of lead volume but a third of new members. It converts leads to paying members at 67%, more than double Instagram's 29% and four times Google's 17%. Instagram brings the most people through the door, referral brings the people who stay.

Video library
The whole course, every workshop and the podcast, hosted here. Video is stored and encoded by Cloudflare Stream, the original master files sit in an R2 bucket, and nothing large ever passes through the app server. This is what retires Vimeo, and eventually Kajabi.

Three of the 184 have no caption track at all, and two more are carrying automatic captions nobody has read. Automatic captions come in twelve languages, English and Spanish among them, and they are good enough to publish only after somebody reads them. A cue like "neutral pelvis" is exactly what speech to text gets wrong, and it is on screen for a member who is deaf.

Signed playback is a switch on each video, not a folder permission. That is why the podcast can sit in the same library as the curriculum and still be posted on Instagram. It also means a video moved into a paid collection is not protected until that switch is thrown, which is why the upload flow throws it by default and makes you turn it off.

Every video in the curriculum and in the membership library has signed playback switched on. There is no address a member can copy that still plays tomorrow. The player asks for a new token each time, the token carries the member's own permissions, and the address bar holds something that is worthless within the hour.
The podcast has it switched off. That link is permanent, it can be embedded on the studio site and pasted into a newsletter, and Cloudflare caches it near the listener. Free content wants a permanent link. Paid content must never have one.
This is the whole model. Nothing is hidden behind a hard to guess address, because a hard to guess address is still an address.
A single token cannot be cancelled once it is issued. The thing that can be revoked is the key that signs them, and revoking it takes every token with it. That is the honest tradeoff and it is why the default life is one hour rather than one week.
For Maria this means a leaked class link is a shrug, and a leaked staff laptop is one button that logs every member out of video at once. There is no middle case where she has to guess.

A retired 2024 master gets opened maybe twice a year, so it sits in the cheaper class. The catch is real: it is billed for a 30 day minimum even if deleted sooner, and reading it back costs a retrieval charge on top. Which is exactly why nothing a member might open ever goes there.

One scan, and the studio knows four things
Who came in, which class, which teacher, and at what time. Everything on this screen is that one fact used four different ways, and none of it works without it.
The desk still checks people in by name and always will. Scanning is for the regulars who come three times a week and do not want to have a conversation at 5:55 in the morning.

It rotates because a photograph of a static code on a wall is a free class forever. Sixty seconds is short enough that a screenshot is useless and long enough that nobody has to try twice.

24 bookings from 61 texts, and every one of them went to somebody who had already said they liked that teacher. The same text sent to all 298 members is the thing that makes people mute a studio, and it would have found most of the same 24.
A reward for frequency, not for spending. It is off until you turn it on and it shows you what it would have cost last month first.

The middle rule costs the most and is the only one that changes a behaviour. Fourteen people who already come ten times in three weeks were going to come anyway, so the grip socks rule is a thank you, which is a fine thing to be as long as nobody expects it to move a number.

A Google review is a different thing and it is asked for differently: after a good visit, by a person, never on a schedule and never in the same breath as a star tap.

Twenty seven rules, twenty running, and the seven that are not are where the money is. 106 people are sitting inside a rule that is switched off, and 92 of those are behind a prerequisite rather than a decision: 41 first timers nobody followed up, 33 unlimited members on a plan they are not using, and 18 empty spots in classes that ran half full. None of those seven is one click away, and pretending otherwise is how a product teaches people to distrust its switches.
Quiet hours are 8:00am to 9:00pm in the recipient's own time zone, and there is no override for anyone. The 6:00am Reformer Flow has a 15 minute claim window, so a waitlist promotion for it has to go out at about 5:45am to be worth anything. Both of those are correct and they cannot both hold.

Held, not dropped. All four go at 8:00am unchanged, and 8:00am means each person's own 8:00am, which for these four is the same hour and will not always be. Twenty five were held this way last month and all twenty five arrived the next morning.
These three are in the queue and the platform already knows it will not send them as written. Showing them here rather than reporting them as failures tomorrow is the difference between a queue and a log.
This screen is the one that makes a person comfortable switching the rest on. You can read every message before anyone receives it, you can stop any one of them, and the two you cannot fix from here, the 4:00am reminder and the 5:47am promotion, are named on the screen rather than buried. Nothing here is a fixed instant. A trigger is "this many minutes before the class's own local start time", worked out at the moment of sending, which is why Harriet's instalment reminder is 9:00am in Sydney and not 9:00am in Austin, and why none of these times shift when the clocks change. The teardown covers no automation at all, so there is no claim here about whether competitors ship this. See FEATURE-GAP.md section 5.

Tomas Brill's text failed this morning because the number on his record is a landline, and that is now permanent: nothing in the library will try to text him again, his win back step fell to email at 8:13am, and Sam has a task to ask him for a mobile. A failure that repeats is a failure nobody handled. Every row here opens, including the failures, and every failure says what happens next and whether it needs you.

Over the last 30 days this rule would have caught 38 members. Five are excluded by a condition, so 33 get the email. Four days later 26 of those 33 still had not booked, and of those 26, 7 have no SMS consent, so the text reaches 19 and the other 7 get the email a second time. Two of the 19 land after 9pm and wait until morning. That is 59 messages, 19 of them texts, and zero of them to somebody who never opted in.

Consent for the first is not consent for the second and never becomes it. Each is stored with the exact wording shown, the timestamp, the IP and the number it applied to, kept 4 years. A member who replies STOP is out of every automation immediately and permanently, not just the one that texted them, and nobody at the studio or at EYT can put them back. Only the member can.
A message caught by quiet hours is queued, never dropped. It goes at 8:00am. Transactional messages, a class reminder or a cancellation, are exempt in law and are exempt here, which is why 12 reminders go out at 4:00am for the 6:00am class.
The email ceiling is the mail provider's, not a preference, and 93 in an hour is close enough to 100 that it has to be raised before this studio runs a network wide announcement. If a rule would push past a ceiling it stops and tells you before the first message goes, rather than sending half a list and leaving you to work out where it stopped.
An unsubscribed member still receives booking confirmations, receipts and class cancellations. Those are transactional and are not marketing, which is the distinction the CAN-SPAM Act actually turns on. Only the member can opt themselves back in.
The reason to read this tab is that none of it is fine print. Quiet hours held 25 messages last month and every one still arrived. The consent check held 41 texts and 33 of those people were reached by email anyway. The frequency cap is holding 3 people today. A guardrail you can see the count on is a guardrail you can trust, which is the difference between this and a checkbox in a settings screen nobody opens.

Recovery, trusted devices and sign in historyRarely changed
Every sign in, successful or not, is kept for 12 months with the device and the approximate location. It is the one log that cannot be turned off, because it is the only evidence available after an account is misused.
Named events, not categories. Every row here is a specific thing that happens, so you can decide whether you want to know about that thing.
Turning every one of these on puts roughly 40 items a week in front of you, and the effect is that you stop reading the three that mattered.

Sam's $50 ceiling is the number that decides whether your Saturday is interrupted. Four refunds last month, none above $38, so the ceiling has never once cost you a phone call.
Leaving, and what a departing instructor takesRarely changed
Money in from members, money out to the network, and who is allowed to give any of it back.
Suspending rather than cancelling on the last retry keeps the member's history, their credits and the chance they update a card in March. Cancelling saves one awkward call and ends the relationship.

Kept, anonymised and deleted are three different answers and only one of them is a promise. A payment record survives a deletion request because tax law says so, and telling a member it was deleted when it was not is the worse failure.

Network HQ never reads a member record. It reads counts. That is the boundary the whole network model rests on and it is not a preference.
The outside systems this account touches, and what each one actually holds. A connection is a copy of your data somewhere else, so the second column matters more than the first.
Square is the one to deal with. It is taking retail payments outside the ledger, which is why September's retail number will not agree with your bank until it is retired.
Adding, removing, and what a disconnection doesRarely changed
The values Core & Flow Austin runs on, and the rows Network HQ holds. Both are here because you need to know which is which before you promise a member anything.
The 12 hour window and the $15 fee are the two rows your front desk defends every week. Moving the window to 24 hours would have charged 61 members last month instead of 34, most of them on a class that refills anyway.

A locked row is not a bug. It is the licence. You can ask for an exception and it arrives at HQ as a thread with the row named, so the conversation starts with the specific thing rather than with a complaint.
The audit trail, the developer facing bits, and anything that is hard to undo. Most people never open this screen and that is the right number of times to open it.

Every settings change in this product writes one of these. It cannot be turned off and it cannot be edited, including by the person it names.
The audit trail is what makes the rest of this product safe to delegate. A front desk with a $50 refund ceiling and a name on every use is safer than a front desk that has to ask.
