If a spot opens, Jordan has 15 minutes to claim it by text before it passes to Amara.
A cancellation tonight frees a reformer and texts Jordan Kessler first. No answer in 15 minutes and the spot passes to Amara.
Dana Michaels, Priya Anand and Sam Ortiz are assignable today. Anyone you add here can be put on a class immediately.

Auto-promote is on studio-wide. The first person in line gets 15 minutes to claim a spot before it passes to the next person.
Cancel before 6:00 PM the night before a 6:00 AM class and the spot opens back up, no charge, no session spent.
Cancel after that window and a monthly member is charged $15; a drop-in or pack member loses the session entirely, no refund.
No-show without cancelling costs $25, charged automatically to the card on file, whether or not the class was full.
A waitlisted member who is offered a spot has 15 minutes to claim it before it passes to the next person in line.

Three of the last five requests gave a reason a save offer cannot fix: injury, relocation, a new job's schedule. This is the number that tells you whether you have a retention problem or people's lives changing, and this month it is mostly the second one.
| Pack | Price | Sold (30d) | Unredeemed sessions | Expires | Liability |
|---|---|---|---|---|---|
| 5-Class Pack | $110 · $22 / session | 18 | 42 | 60 days | $924 |

| 20-Class Pack | $460 · $23 / session | 6 | 58 | 180 days | $1,334 |
| Total | 48 | 161 | $3,478 |
The 20-Class Pack has the longest expiry window and the most unredeemed sessions per pack sold, 9.7 average. That is the pack most likely to expire unused and turn into a refund request instead of a class taught.

One scan, and the studio knows four things
Who came in, which class, which teacher, and at what time. Everything on this screen is that one fact used four different ways, and none of it works without it.
The desk still checks people in by name and always will. Scanning is for the regulars who come three times a week and do not want to have a conversation at 5:55 in the morning.
The code on the wall
| Changes every | 60 seconds |
| Works for | 15 minutes either side of a class |
| Scanned this week | 204 of 486 check-ins |
| Members using it | 71 of 298 |
It rotates because a photograph of a static code on a wall is a free class forever. Sixty seconds is short enough that a screenshot is useless and long enough that nobody has to try twice.
What it cannot do
Three steps, and the second one is the only one a member ever sees. Each one only runs because the scan said who was in the room.
| When | What happens | Who sees it | Last 30 days |
|---|---|---|---|
|
Class ends
Immediately
|
Attendance is written to the roster and to the member's own record. Nothing is sent. | Nobody | 204 scans |

Two hours later
One tap
|
"How was Reformer Flow with Dana?" Five stars, no text box, no second screen. Skipping it costs nothing and it never asks twice about the same class. | The member | 204 asked, 138 rated |
|
When that teacher is next on
At most once a fortnight
|
"Priya is covering Saturday 9:00. You rated her class four stars in July." One text, with the booking link. | Members who rated that teacher 4 or better | 61 sent, 24 booked |
24 bookings from 61 texts, and every one of them went to somebody who had already said they liked that teacher. The same text sent to all 298 members is the thing that makes people mute a studio, and it would have found most of the same 24.
A reward for frequency, not for spending. It is off until you turn it on and it shows you what it would have cost last month first.
| Rule | What earns it | What they get | Would have gone to | State |

|
Ten in three weeks
The one Jessica described
|
10 classes attended inside any 21 day window | $5 off grip socks, applied at the desk | 14 members, $70 | |
|
Back after a gap
Worth more than the one above
|
A class after 30 days away, then another inside 14 days | Their next class free | 6 members, $192 | |
|
A hundred classes
Not a discount
|
The hundredth class at this studio, ever | Named on the board by the desk, if they want to be | 3 members |
The middle rule costs the most and is the only one that changes a behaviour. Fourteen people who already come ten times in three weeks were going to come anyway, so the grip socks rule is a thank you, which is a fine thing to be as long as nobody expects it to move a number.
Reports
The questions a studio owner actually asks, already answered. Anything here exports to a spreadsheet in one tap.

Dana's classes fill 29 points higher than Priya's and her students stay 16 points longer. Most of the gap is time of day, not skill, Priya carries the 7:30pm slot this report already flagged as under-booked. Moving that class to a stronger slot is the fix, not a conversation about performance.

Settings
Your account, what you are allowed to do at the desk, and the studio numbers you are asked about all day. The gear beside a section is a shortcut into the same settings.
Who you are inside Core & Flow Austin, and what other people see when your name appears on a screen.
Your name appears on records that outlive your account. Changing it updates what is displayed and never rewrites an audit entry.
Display and accessibilityRarely changed
Closing your account removes your sign in and keeps every record you created, because a roster, a note or a receipt belongs to Core & Flow Austin rather than to you. Ask Maria Chen to start it.
How you get in, what is still signed in, and how to stop it.
Twelve characters and nothing else. No forced symbol, no forced digit, and the field is checked against known breached passwords at save.
| Device | Browser or app | Last seen | State |
|---|---|---|---|
| Front desk iMac, Austin TX | Chrome | This device, now | Current |
| Lobby kiosk iPad | Kiosk mode | Today, 5:00 AM | No session |
The lobby kiosk holds no session at all. It can check a member in and it cannot see a record, which is why it can sit unattended in a public room.
Recovery, trusted devices and sign in historyRarely changed
Every sign in, successful or not, is kept for 12 months with the device and the approximate location. It is the one log that cannot be turned off, because it is the only evidence available after an account is misused.
Named events, not categories. Every row here is a specific thing that happens, so you can decide whether you want to know about that thing.
The rows that are off are off because they are true and not actionable. That is the test worth applying to the rest of them.
Digest, batching and escalationRarely changed
What you can do at the desk without asking, what needs your PIN, and what is Maria Chen's. This screen is mostly read only on purpose.
| Action | You | Limit |
|---|---|---|
| Check a member in, including up to 10 minutes late | Yes | After 10 minutes it is a no show |
| Move a member to another class | Yes | Same week, same class type |
| Sell a class pack or a single class | Yes | Discount up to 20% |
| Sell a monthly membership | No | Maria Chen signs it off |
| Refund | With your PIN | Up to $50 |
| Comp a class | With your PIN | Two a month, one used |
| Overbook a reformer | No | Room A is 11 spots today |
Every PIN use is recorded with your name, the amount and the reason. That record is the reason a $50 ceiling can exist at all rather than a rule that says ask first.
The kiosk, and the shared machineRarely changed
What you can take, what you can give back, and what happens at the end of a shift. Most of the numbers here are Maria Chen's, and they are shown so you never have to guess.
Every PIN use is recorded with your name, the amount and the reason. That record is why a ceiling can exist at all instead of a rule that says ask first.
The cash drawer and the end of shift countRarely changed
What you can see about a member, what you cannot, and what happens when somebody asks you to delete them.
| Field | You | Why |
|---|---|---|
| Name, phone and email | See and change | You need it to run a desk |
| Bookings and class history | See | You answer questions about it all day |
| Balance owing | See | You take the payment |
| Injury and pregnancy notes | A flag that says ask | You need to know to ask, not to know what it says |
| Card details | Last four only | Nobody sees more, including Maria Chen |
| Date of birth | See | Age restrictions on some classes |
A flag rather than the note is what lets you say the right thing at the desk without holding information you have no reason to hold. It is also what you say if a member asks why you do not know.
Export, and what you may take off this screenRarely changed
You can export today's class list and your own end of shift summary. You cannot export a member list, a contact list or anything with an email address in it, and that is not a permission Maria Chen can grant you.
The outside systems this account touches, and what each one actually holds. A connection is a copy of your data somewhere else, so the second column matters more than the first.
Every row here is a copy of something somewhere else. That is the reason a deletion request has to reach all of them rather than stopping at this product.
Adding, removing, and what a disconnection doesRarely changed
How your screen and the lobby kiosk behave, and the studio rules you are enforcing all day. Almost all of it is Maria Chen's, and it is here so you never have to guess a number in front of a member.
The pack session line is the one worth knowing by heart. It is the answer to the most common complaint at this desk, and reading it off a screen while somebody waits is worse than saying it.
The kiosk, and what a member is never told at a screenRarely changed
The audit trail, the developer facing bits, and anything that is hard to undo. Most people never open this screen and that is the right number of times to open it.

Every settings change in this product writes one of these. It cannot be turned off and it cannot be edited, including by the person it names.
There is no reset and no delete on this surface. Everything you can change is a preference about your own screen, and the records are the studio's.
The audit trail is the reason the permissions on the other screens can be as open as they are. Anything you do is attributable, so it does not have to be prevented.
Developer, support access and the product tourRarely changed
The tour is interactive rather than a document. It spotlights the real screen, dims the rest, and stops wherever you stop. Nothing it clicks changes anything.
